The Executive Administrative Assistant provides high-level support to the CEO and senior leadership team, ensuring the seamless and efficient operation of the executive office. This role manages complex scheduling, prepares executive communications and materials, and supports key strategic initiatives. Serving as a trusted liaison between the CEO, leadership, and internal and external stakeholders, the Assistant acts as a true extension of the CEO — managing communications, driving execution, and proactively anticipating needs across both professional and personal domains.

As an Executive Assistant you will:

    • Manage a dynamic, complex calendar to ensure alignment of priorities and optimal use of the CEO’s time.
    • Oversee all aspects of the CEO’s professional and personal schedule, including domestic and international travel, itineraries, meetings, family commitments, and business obligations.
    • Provide comprehensive administrative support: correspondence, travel coordination, meeting preparation, reports, presentations, meals and lodging, and expense management.
    • Capture meeting notes, track action items, and relay key information to ensure follow through and leadership alignment.
    • Deliver regular updates on priorities, progress, and action items.
    • Handle phone calls, emails, and written communications on behalf of the CEO with accuracy and professionalism.
    • Take ownership of special projects and assist with personal planning as needed.
    • Ask clarifying questions to ensure alignment and desired outcomes.
    • Support planning and coordination of corporate events, office activities, and team offsites.
    • Excel in fast paced, high pressure settings; adept at reading the room, adapting to shifting priorities and personalities, and maintaining composure to drive productive outcomes.

Executive Assistant Qualifications:

    • U.S. Citizenship required.
    • Minimum of a high school diploma; bachelor’s degree preferred.
    • At least 5 years of experience as an Executive Assistant, including experience supporting C-suite leaders.
    • Exceptional verbal and written communication skills with the ability to be both personable and professional.
    • Proven ability to maintain strict confidentiality, discretion, and sound judgment.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong organization, scheduling, and prioritization skills with impeccable attention to detail.
    • Experience managing relationships with external vendors and consultants.
    • Ability to manage multiple priorities and follow through on all commitments.
    • Demonstrated traits of ownership, adaptability, emotional intelligence, versatility, conscientiousness, and a big picture mindset.

Additional things we would like to see:

    • Experience supporting executives in a government contracting or high security environment.
    • Strong project coordination or operations support background.
    • Skilled in event planning and logistics for meetings, offsites, or corporate functions.
    • Proficiency with collaboration tools such as SharePoint, Zoom, Teams, or Slack.
    • Demonstrated ability to anticipate needs and solve problems proactively.
    • Excellent judgment, discretion, and emotional intelligence in handling sensitive matters.
    • Positive, professional presence that contributes to a strong and engaged company culture.
