Role Overview:
The Onboarding Coordinator ensures a smooth and positive candidate transition from offer acceptance through completion of all hiring requirements and early onboarding.
Beyond early onboarding, the Onboarding Coordinator coordinates and tracks BT testing to ensure the timely completion of RBT certification. The role also provides coordination support for the peer-buddy program, partnering with the Program Lead to ensure a positive onboarding experience and engagement during the first 30 days.
The Onboarding Coordinator is highly organized, detail-oriented, and personally accountable, ensuring that every step —from offer acceptance to early onboarding and credentialing —is accurate, timely, and well communicated. This role contributes to candidate conversion, early retention, and operational efficiency by identifying workflow gaps, recommending improvements, and partnering with HR and TA leadership, Training teams, and the Buddy Program Lead to enhance the new hire experience.
Responsibilities - Offer Acceptance & Pre-Boarding
- Serve as the primary HR point of contact from offer acceptance through pre-boarding, ensuring all hiring requirements are completed accurately and on time.
- Monitoroffer progress and pre-employment tasks (e.g., background checks, drug screens, I-9s), following up proactively to prevent delays.
- Partner with recruiters and HR team members to ensure timely offer processing, accurate data entry, and readiness for onboarding.
Responsibilities - Onboarding & Early Transition Coordination
- Coordinate logistics and communication for onboarding cohorts, partnering with Training to confirm roster accuracy and first-day readiness.
- Provide coordination support for the peer-buddy program, partnering with the Buddy Program Lead to ensure timely pairings and engagement during the first 30 days.
- Coordinate and track BT testing to ensure timely completion of RBT certification and communicate progress or issues to HR and Training partners.
- Identify early integration risks (e.g., testing delays, disengagement, attendance issues) and escalate for resolution as needed.
Responsibilities - Data, Reporting & Process Improvement
- Maintain accurate new-hire data and documentation in the ATS and HRIS from offer acceptance through early employment milestones.
- Track and report on key metrics such as offer-to-start conversion, onboarding completion, and RBT testing outcomes.
- Recommend process improvements and share insights to enhance onboarding, buddy engagement, and early retention.
Responsibilities - Cross-Functional Partnership
- Collaborate with HR, TA, Training, Operations, and the Buddy Program Lead to ensure a seamless new-hire experience and smooth transition post-onboarding.
- Build positive, service-oriented relationships with recruiters, hiring managers, and new hires to support engagement, accuracy, and early success.
Qualifications:
- High school diploma or equivalent and 3+ years Experience in administrative, onboarding, HR coordination, training administration, or other people-operations roles involving data accuracy, scheduling, and customer service in a fast-paced environment.
- OR Bachelor’s degree in Human Resources, Business Administration, or related field and 1-2 years Relevant experience demonstrating organization, accountability, attention to detail, and professional communication — gained through onboarding coordination, HR or training administration, campus leadership, internships, or other professional roles involving data accuracy, scheduling, and follow-through.
- 1 year experience coordinating multiple new-hire, employee, or customer processes in a high-volume, deadline-driven environment, required.
- 1 year experience demonstrating ability to manage multiple priorities simultaneously with accuracy and attention to detail, required.
- 1 year experience communicating professionally with internal stakeholders and/or external candidates, required.
- 1 year experience proven ability to work with confidential information and maintain discretion, required.
- 1 year experience in onboarding coordination, HR support, training administration, or employee-facing administrative work, preferred.
- Familiarity with HRIS and ATS systems (e.g., Paylocity, Lever, Greenhouse) with ability to learn quickly, preferred.
- 1 year experience supporting pre-employment and onboarding processes such as I-9s, background checks, credential verification, or compliance documentation, preferred.
