Job Title: Operations Coordinator
- Reporting directly to the Director of Finance and Operations
- Based locally in or around Washington D.C./Northern Virginia with in-office requirements
Primary Responsibilities:
- Identify opportunities for operational efficiencies and implement process improvements.
- Plan and support representation of the company’s technologies for critical senior government leadership and customers
- Assist with onboarding new hires by setting them up in company systems and ordering new equipment and supplies.
- Streamline the onboarding process and assist with HR-related administrative tasks.
- Assist with planning and executing company events, meetings, and conferences.
- Keep track of company inventory, including office supplies, equipment, and technical resources.
- Assist with financials to include categorization of expenses and investigations.
- Provide general worksite support, ensuring a well-organized, efficient work environment.
- Assist in managing select projects, including office space selection and setup.
- Handle and track inbound/outbound mail and critical deliveries.
On a Typical Day You Would:
- Help onboard new hires by scheduling initial meetings, setting up calendar invites, and ordering equipment and company representational supplies.
- Act as primary company point of contact and coordinator for a hybrid office, lab, and immersive technology demonstration facility, overseeing episodic interactions with stakeholders, security, and visitors.
- Assist with planning for company events, such as travel and team-building activities.
- Support conferences and meetings by ordering representational items, personnel registration, and updating trackers on event details.
- Support inventory tracking and recordkeeping.
- Pick up mail or packages, organize, scan or send as needed.
- Perform various administrative tasks to ensure the smooth operation of the business.
Desired Qualifications:
- High standard of ethics, integrity, and moral character.
- 2-5 years Operations, Office Management, or similar experience in a high-growth organization; preference for experience in a growth-stage technology company.
- Ability to embrace the startup culture of moving fast, adapting to new challenges, and having a passion for improving others' lives.
- Exceptional organizational skills and the ability to manage multiple tasks simultaneously.
- Strong written and verbal communication skills.
